Destination Wedding Websites: What Your Guests Need to Know
· 7 min read
Flights, transfers, accommodation and weekend schedules — how to organise it all for guests travelling abroad.
Why destination weddings need more information
When guests travel abroad for your wedding, they are planning a trip as well as attending a celebration. They will need to book flights, arrange accommodation and understand how to get between the airport, their room and each event.
Putting all of that in one well-organised place saves you dozens of individual conversations and helps guests feel confident about the journey.
Travel and arrival
Start with the information guests need earliest, because flights are usually booked first:
- The nearest airports and approximate transfer times
- Whether you are arranging shuttles, and when they run
- Car hire, taxi and driving guidance
- Passport and entry reminders, linking to official government travel advice rather than restating it
Accommodation
Explain clearly who is staying where. If some guests are onsite and others are booking nearby, consider separate sections so each group sees the details relevant to them, such as check-in times or evening transport back.
The weekend schedule
Destination weddings often run across several days — welcome drinks, the ceremony and reception, then a farewell brunch. List each event with its time, location and dress code, and say plainly which events every guest is invited to.
Local, practical details
Small details make a big difference to guests in an unfamiliar place:
- Expected weather and packing suggestions
- Nearby pharmacies, supermarkets and restaurants
- Currency and tipping notes
- Who to contact on the day if plans change
Making it easy to find on the move
Guests will check the website on their phones at the airport and between events, so it must work beautifully on mobile. A QR code on your invitations is an easy way to get everyone to the right place.
